General Virtual Assistant

Job Summary:

We are seeking an organised and reliable General Virtual Assistant to join our remote team and provide essential administrative support to our clients. The ideal candidate will play a key role in ensuring smooth operations and effective communication by managing a variety of tasks. This position requires a proactive individual who can work independently, demonstrate excellent time management skills, and maintain a high level of professionalism in a virtual environment.

Key Duties:

  • Manage and organise schedules, appointments, and meetings for team members and clients.
  • Handle incoming and outgoing emails, ensuring timely responses and follow-ups.
  • Conduct online research and compile relevant information to assist in project development and decision-making.
  • Maintain and update digital files, documents, and databases with accuracy and attention to detail.
  • Prepare reports, presentations, and other materials as needed for meetings and client communications.
  • Assist with invoicing, billing inquiries, and basic bookkeeping tasks as required.
  • Collaborate with team members on various projects, providing support as needed to ensure deadlines are met.
  • Communicate effectively with clients, addressing inquiries and resolving issues promptly.
  • Undertake additional administrative tasks and special projects as assigned.

Requirements:

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Strong organisational skills and ability to prioritise tasks effectively in a remote work environment.
  • Excellent written and verbal communication skills.
  • Proficiency in using various office software applications, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
  • Familiarity with project management tools and software (e.g., Trello, Asana) is a plus.
  • Ability to work independently with minimal supervision and manage time efficiently.
  • Strong attention to detail and problem-solving skills.
  • A reliable internet connection and a suitable workspace for remote work.

Professional Background:

  • Minimum of 6 months experience in a BPO or similar.
  • Previous experience as a virtual assistant or in a similar role is highly desirable.
  • Certifications in office management, virtual assistance, or relevant software applications are an asset.
